Description
This dynamic position is central to the executive office and requires the ability to anticipate needs, be familiar with resources, think critically, and coordinate with colleagues throughout the organization. The Executive Assistant position requires a high level of professionalism, confidentiality, and discretion in supporting both the Chief Executive Officer/President (CEO) and the Chief Operating Officer/Vice President (COO).
Requirements
MAJOR DUTIES:
Manage complex calendars and triage daily workflow needs.
Coordinate and host virtual meetings.
Provide board and committee support by maintaining updated rosters and annual calendar; collect and produce reports and agenda materials.
Coordinate and manage travel and expense reimbursement.
Create administrative systems and document management as needed.travel, communications, and workflow needs for both executives.
Regularly interacts with other staff, board members, CEOs, senior executives, and state officials on behalf of the executive office.
KNOWLEDGE, SKILLS, AND EXPERIENCE:
Associate degree and a minimum of 5 years’ experience supporting senior executives or comparable leadership roles.
Exceptional attention to detail, accuracy, and organizational skills.
Advanced proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint), Teams or other virtual meeting platforms, and Sharepoint. Familiarity with association management system helpful.
Strong written communication skills, including grammar, spelling, and punctuation.
Ability to remain professional, composed, and organized in a fast-paced and changing environment.
Strong interpersonal skills with the ability to build effective working relationships with senior executives, board members, government officials, and other stakeholders.
Ability to collaborate and communicate effectively as part of a team.
Sound judgment, integrity, and a demonstrated ability to handle confidential information with discretion.
